Who we are
Steve Coleman Archives (https://www.stevecolemanarchives.com) is an independent project documenting the music of Steve Coleman and related ensembles through concert information, recordings and photographs.
Dimitri Louis is responsible for the personal information processed for this project. For privacy questions or to exercise your rights, email stevecolemanarchives@gmail.com.
Account requests and access
When you request an account, we collect your display name and email address to verify your email, review your request and contact you about the outcome. These details are necessary to process the request. Requests awaiting email confirmation or review are retained for up to 30 days, as stated on the request form.
If your request is approved, WordPress stores the information needed to operate your account, including your username, email address, password hash and access permissions. Catalogue access, private listening and editing permissions are managed separately, and some permissions may have an expiry date.
We process this information to provide the account service you request and administer access to the archives. Our legal basis is taking steps at your request and providing that service under Article 6(1)(b) of the GDPR. Account information is retained for as long as necessary to operate your account and manage the access granted to it. You can contact us to request account closure or deletion, subject to any information we must retain for legal claims or obligations.
Emails
We use your email address to send operational messages, including account verification, account decisions and password-reset messages. Website emails are sent through FluentSMTP using Sendinblue/Brevo. Local email logs, which may contain recipient details and message content, are configured for automatic deletion after 14 days. This period does not determine retention in recipients’ mailboxes or in the email provider’s systems.
Correspondence sent to stevecolemanarchives@gmail.com is handled through Gmail. We use it to answer enquiries and administer the project, based on our legitimate interest in responding to people who contact us. Correspondence is retained while needed to resolve the enquiry and any related follow-up or legal claim.
Security
The website uses Wordfence Security and Cloudflare Turnstile to protect accounts, prevent abuse and identify automated requests. Technical information, including IP addresses, browser information and request or security-event details, may be processed for those purposes. Our legal basis is our legitimate interest in maintaining a secure website under Article 6(1)(f) of the GDPR.
Cloudflare explains its processing in its Turnstile Privacy Addendum. Security records are kept for the period needed to investigate abuse and protect the website, subject to the retention settings of the relevant service.
Cookies and media
WordPress uses cookies for authentication and maintaining signed-in sessions. Disabling these cookies may prevent account functions from working correctly. Their duration depends on the session and the login options selected.
The catalogue includes audio playback and video links. Following a link to an external service brings you under that service’s privacy policy. An externally hosted player, when loaded, may also send technical connection information to its provider.
External embedded players are blocked until you allow external media. You may accept, reject optional media or customise your choice. Open “Cookie settings” in the footer at any time to change or withdraw permission. Your choice is stored in this browser under sca_privacy_choice_v1 using local storage for up to six months (183 days). This essential preference record contains the selected media setting, a timestamp and a version number; it is not used for advertising. Rejecting optional media does not affect your account or private audio permissions. Withdrawing consent stops embedded players on the current page and keeps them blocked on future visits; it does not automatically erase storage already set by an external provider, which you can manage in your browser.
Hosting, providers and backups
The website is hosted by OVHcloud. Its infrastructure stores and serves the website and its database. See OVHcloud’s information on personal data protection.
Information is available to authorised administrators and to providers where necessary for their functions: OVHcloud for hosting, Cloudflare for Turnstile, Wordfence where its security services are involved, Brevo for website email delivery, and Google for Gmail correspondence and Google Drive backups.
UpdraftPlus creates website backups, including database backups, with remote copies stored in Google Drive. These copies may contain account information. Backup retention is governed by the backup rotation and the recovery needs of the website; deletion from the live website does not immediately remove information from older backup copies.
Providers may process information in countries outside the European Economic Area. Applicable safeguards depend on the provider, service and processing location. Contact us for information about the arrangements applicable to your information.
People documented in the archive
Concert records, musician names, photographs and recordings document musical performances and the history of the project. They come from the project’s collection and supporting concert documentation. Our legitimate interest is documenting and making this musical history accessible. Archival material is retained while relevant to this purpose. If material identifies you and you have a privacy concern, contact us so we can review it, including any request for correction or objection to its use.
Your rights
Depending on the processing and applicable law, you may request access, correction, deletion, restriction or portability of your personal information. You may object to processing based on legitimate interests. If processing relies on consent, you may withdraw it without affecting processing that took place before withdrawal.
Send requests to stevecolemanarchives@gmail.com. We may ask for proportionate information to verify your identity. You may complain to the relevant data-protection authority; in France, this is the CNIL.
Changes to this policy
We update this page when the website’s services or personal-information practices change. The revision date appears at the top of the page.
